JOB DESCRIPTION


The HR Administrator will be responsible for the day-to-day administration and maintenance of HR policies, programs, and services.


SCOPE OF POSITION


The Human Resources Administrator will be responsible for the day-to-day administration and maintenance of HR policies, programs, and services. Reporting to Group HR Director this position will ensure that HR programs are implemented effectively and efficiently.  


OVERALL GOALS FOR POSITION


The Group HR Administrator contributes to Menard Group’s ambition to strengthen people management, leadership capability, and organizational consistency by:



  • Supporting group‑wide HR programs and initiatives

  • Maintaining structured, reliable HR documentation and data

  • Enabling managers and local HR teams with clear tools and materials

  • Improving visibility, coordination, and execution of HR priorities at Group level

Profile

ROLES, RESPONSIBILITIES & EXPECTATIONS


Group HR Coordination & Administration



  • Support the planning, coordination, and follow‑up of Group HR initiatives (training programs, audits, HR network actions, seminars).

  • Maintain and structure Group HR documentation (frameworks, tools, templates, presentations).

  • Ensure HR materials are up to date, aligned, and accessible (Louis Spirit / SharePoint).

  • Track progress, deadlines, and action items linked to HR roadmaps.


Systems, Data & Reporting



  • Support administration and data quality across HR systems (e.g. CPD, UP VINCI, People Directory, dashboards).

  • Coordinate data collection from regions for group reporting (training, performance cycles, audits, mobility, engagement indicators).

  • Prepare structured summaries, reports, and dashboards for management.

  • Support compliance and consistency in data handling, respecting confidentiality and local regulations.


Training & Development Support



  • Coordinate logistics and materials for Group training programs (PM+, Builders, managers’ workshops, leadership initiatives).
    Maintain a structured overview of group training offerings and resources.
    Support the preparation of learning materials and internal communication for managers.
    Liaise with internal and external providers for training logistics and documentation.


Managers & HR Network Support



  • Support the development and maintenance of manager‑focused HR resources (people management tools, guides, career paths).

  • Act as a coordination point between the Group HR Director and local HR teams / HR network.

  • Support preparation and follow‑up of HR network meetings, workshops, and key communications. 


Communication & Content



  • Support preparation of clear HR communications for managers and employees (emails, SharePoint content, presentations).

  • Ensure alignment with Menard values, HR priorities, and Group narrative.

  • Coordinate with internal communication/marketing teams when needed. 


SKILLS, QUALIFICATIONS, AND EXPERIENCE REQUIRED


Education& Experience Requirements



  •  2–4+ years in HR coordination, HR administration, or HR project support.

  • Experience in a multi‑entity, international, or matrix organization is an asset.

  • Experience with HR systems, reporting, and structured documentation.
    Degree or diploma in Human Resources, Business Administration, or related field.


Skill Requirements



  • Excellent organization and follow‑through.

  • Strong written communication and synthesis skills.

  • Proficient level of English and French.  

  • High attention to detail, data quality, and structure.

  • Comfortable working across cultures, time zones, and functions.

  • Discrete and trustworthy with confidential information.

  • Able to work independently while supporting multiple stakeholders.
