Description of the assignment

To assist the HR department and the Site teams in providing administration support to the Sizewell project, including responsibility for specific tasks and projects within the Departments. All tasks in compliance with required strict confidentiality of data & respect for GDPR legislation.

Key Tasks & resposibillities 

  • Visa Submissions: Liaise with our overseas Group Companies and their employees to gather the necessary documents and information to support the visa application process. Liaise with our Immigration Advisors to complete the visa process.  

  • Right to work in the UK: Ensure compliance with legislation on ensuring all employees have the right to work in the UK. Carry out regular checks on employees’ files. Liaise with the specialist immigration agency and The Home Office to ensure compliance.

  • Security Vetting: Liaising with employees and employers of agency workers, communicating the vetting process, gathering relevant documentation and supporting them through the security check process.
  • Verifying and reviewing ID documents to be submitted to the relevant vetting partners. This may also include liaising with a third party to conduct Academic Vetting & Qualification conversion checks.

  • Competency Requirements: Assist our overseas employees in obtaining the relevant construction industry competency card/s, including booking of tests and card applications.

  • Booking of Inductions: Liaise with the site teams to arrange the booking of inductions for all new visitors to site.

  • Meeting and Greeting: Be the first point of contact for visitors, new employees, agency workers etc. when they first visit site.
  • Assisting managers in the Integration of these individuals to site. Including collection of IT equipment, organisation of medical appointments and any other appropriate equipment as necessary.

  • Integration: Assist the HR department with the integration and ongoing support for all employees including overseas workers. 

  • Administration: Office administration duties including telephone contact & enquiry handling, etc.   
  • Correspondence & Communications: compose & issue emails, letters and other communications to employees e.g., Employee Communications and keeping file 'reference copies'. 

  • Any other reasonable tasks and project work as required.

Profile

 

  • Previous Administration and Data Entry experience.
  • Previous Customer Facing experience.
  • Excellent communication skills with the ability to quickly establish and maintain strong relationships across all levels.
  • Excellent organisational and planning skills to help ensure the delivery of a fast-paced support service.
  • Advanced knowledge of all Microsoft Office packages, especially Excel.
  • To be resilient with a positive and confident approach.
  • French speaking desirable.
